{"id":1501,"date":"2019-08-20T16:28:54","date_gmt":"2019-08-20T20:28:54","guid":{"rendered":"http:\/\/learn5sdev.wpengine.com\/?p=137"},"modified":"2022-11-04T16:20:40","modified_gmt":"2022-11-04T20:20:40","slug":"liven-up-standardized-work","status":"publish","type":"post","link":"https:\/\/www.compliancesigns.com\/blog\/liven-up-standardized-work\/","title":{"rendered":"10 Tips to Liven Up Standardized Work"},"content":{"rendered":"\n<p><em>&#8220;10 Tips to Liven Up Standardized Work,&#8221; By Benoit Chouinard, Main Associate at Soltiosn vSmart for our previous blog in April of 2015.<\/em><\/p>\n\n\n\n<p>Our employees are responsible for the team\u2019s success and management is responsible for its failures; to perform is always to be the best, optimize and do a better job tomorrow.&nbsp;In operations, we use standardized work, among other things, to always go further.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-1-be-accountable-for-your-team-s-performance\"><strong>1.<\/strong> Be accountable for your team\u2019s performance.<\/h2>\n\n\n\n<p>Originally, the manager generates economic performance. This isn\u2019t new (enunciated by Pete Drucker in 1954 in his book,&nbsp;<em>Practice of Management<\/em>.)&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-2-a-sound-mind-in-a-sound-workspace\"><strong>2.&nbsp;<\/strong>A sound mind in a sound workspace.<\/h2>\n\n\n\n<p>There is nothing better than a well-organized space and a free mind to get a good job done. And this is true for all services.<\/p>\n\n\n\n<p>Make sure that your teams can rely on optimized workspaces. In production and assembly, use modular systems to create workstations that are perfectly adapted to the job, with modular systems. In offices, make sure that piles of files are put away at the end of the day and don\u2019t forget to keep everything tidy in the computer network, by performing a regular cleanup.<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img decoding=\"async\" width=\"320\" height=\"480\" data-src=\"https:\/\/www.compliancesigns.com\/blog\/wp-content\/uploads\/2022\/08\/custom-5s-cart-opt-1.jpg\" alt=\"\" class=\"wp-image-5335 lazyload\" data-srcset=\"https:\/\/www.compliancesigns.com\/blog\/wp-content\/uploads\/2022\/08\/custom-5s-cart-opt-1.jpg 320w, https:\/\/www.compliancesigns.com\/blog\/wp-content\/uploads\/2022\/08\/custom-5s-cart-opt-1-200x300.jpg 200w\" data-sizes=\"(max-width: 320px) 100vw, 320px\" src=\"data:image\/svg+xml;base64,PHN2ZyB3aWR0aD0iMSIgaGVpZ2h0PSIxIiB4bWxucz0iaHR0cDovL3d3dy53My5vcmcvMjAwMC9zdmciPjwvc3ZnPg==\" style=\"--smush-placeholder-width: 320px; --smush-placeholder-aspect-ratio: 320\/480;\" \/><\/figure>\n<\/div>\n\n\n<p>Take pictures when everything is neat and tidy\u2026and look at them when you feel the environment leaves a lot to be desired. Lead by example, as we usually require of ourselves what we want of others.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-3-bring-work-back-to-the-basics\"><strong>3.&nbsp;<\/strong>Bring work back to the basics.<\/h2>\n\n\n\n<p>In order to always improve, one should always question oneself. So your employees are your best allies. Involve them in the improvement of your standardized work methods and discuss it with them!   <br>You can follow these steps: <\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Break down work into steps and number them.<\/li>\n\n\n\n<li>Discuss each of these steps with your employees, understand the essence together and identify the opportunities for improvement.<\/li>\n\n\n\n<li>Think of ways to optimize each of these steps.<\/li>\n\n\n\n<li>Apply the improved work method together.<\/li>\n<\/ol>\n\n\n\n<p>Be thankful to all employees for their involvement and the expertise they acquire every day while working. Always remember that it is their work that your clients purchase.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-4-set-up-the-basics-and-make-them-grow\"><strong>4.<\/strong> Set up the basics and make them grow.<\/h2>\n\n\n\n<p>Once the workload has been fractioned, the results must be put on paper. Ph.D. theses are very useful in college, but in the field, you need to prove yourself. Establish the bases of what has to be done, even if it isn\u2019t perfect, it can always be improved over time. You will, therefore, create a place where you will make the most of your staff\u2019s experience. <\/p>\n\n\n\n<p>Experience is the sum of our mistakes\u2026and to benefit from it, the know-how needs to be consolidated. The war for improvement is one that is continuously fought. We will certainly win battles, but the fight must go on day after day.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-5-give-meaning-to-their-work\"><strong>5.&nbsp;<\/strong>Give meaning to their work.<\/h2>\n\n\n\n<p>To perform their duties well, employees need to understand them. So don\u2019t just show them the starting point and the finish line.<\/p>\n\n\n\n<p>Explain to them the important details of the job and the reasons why it is done that way. Standard time doesn\u2019t have anything to do with the time it takes to complete a task using various operators. Standard time is the time required to complete a specific task using the best-known methods. All in all, standard time is the happy result of the improvement of a secret recipe.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-7-the-devil-is-in-the-details\"><strong>7.<\/strong> The devil is in the details!<\/h2>\n\n\n\n<p>Oftentimes, you think you are in full control of the situation, then a client makes a complaint, because of a detail that slipped through the cracks. Or you notice you\u2019re missing an important tool on Tuesday night when there&#8217;s a delivery planned for Wednesday morning. Being 99.99% good at standardized work is not enough, because customers are more and more demanding, we need to be Excellent at all times! In conclusion, get involved in details with rigor&#8230; all the time.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-8-down-with-paper\"><strong>8.<\/strong> Down with paper!<\/h2>\n\n\n\n<p>Nowadays, mobile devices give employees direct access to information. Thank you, Mr. Jobs, for the advent of tablets in 2010. We can now get rid of the heavy burden of paper, illustrations, photos, and videos. Visit&nbsp;<a href=\"https:\/\/www.dozuki.com\/\">www.dozuki.com<\/a>&nbsp;to learn more, and see&nbsp;<em>Documentation Just Became Painless.<\/em><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-9-take-control-of-task-training\"><strong>9.<\/strong> Take control of task training.<\/h2>\n\n\n\n<p>Standardized work procedures are essential, but you need to make sure that they are passed along to the employees. You are responsible for the development of your teams\u2019 operational skills and must offer them the necessary resources to progress. You act as the pivot between the apprentice and the trainer. Develop a detailed and rigorous training plan, set clear goals, and follow each employee\u2019s output every week.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-10-if-the-apprentice-hasn-t-learned-the-teacher-hasn-t-taught\"><strong>10.&nbsp;<\/strong>If the apprentice hasn\u2019t learned, the teacher hasn\u2019t taught.<\/h2>\n\n\n\n<p>This is a fairly simple rule that is easy to remember. Your trainers need to efficiently train the apprentices by teaching them the key steps of their work, apply their teachings in practice, check that the job is well done and proceed with adjustments if needed.<\/p>\n\n\n\n<p>Ask your trainers to use the instructions they probably put together themselves and don\u2019t let them teach using the \u201ctrial and error\u201d method. So, when somebody tells you the new guy doesn\u2019t understand anything, refer them to tip #10\u2026<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-bonus-measure-measure-measure\"><strong>Bonus<\/strong>: Measure, measure, measure.<\/h2>\n\n\n\n<p>Surely, you already put this in practice (am I right?)! If the manager\u2019s responsibility is to generate results, his or her main tools are indicators.
